Coast Mountain College (CMTN), Terrace campus, invites applications for a full-time term Coordinator, Systems and Records. This appointment will commence September 8, 2026 and end August 18, 2028.  Salary will be in accordance with the BCGEU Support Staff Salary Scale, Level 15: $2,963.10 bi-weekly.

Duties:  Reporting to the Associate Registrar, this position will coordinate the daily operation of the Records Management Department and give substantial support to the Associate Registrar, by providing information to support the institutional planning and enrolment management and contribute to the development of a strong, efficient team and department. Duties will include:

  • Develop and maintain expertise needed to ensure a high level of service
  • Assist with the definition, planning and implementation of new systems and enhancements that are consistent with the goals and priorities of the Office of the Registrar
  • Responsible for processing and verification of Tuition and Enrolment Certificates (T2202)
  • Implement the business processes of the Registrar’s Office that are in compliance with approved policy and procedures, regulation, provincial or federal acts
  • Responsible for aligning tuition and fee calculations with approved amounts for base funded courses and programs, implementing policy changes in relation to tuition and fees, verifying accuracy of A/R accounts, recommending fee adjustments to the Registrar
  • Coordinate and deliver training in support of business and systems changes
  • Ensure compliance with data standards, requirements and security for student records
  • Other related duties (of similar scope and complexity) as required

Qualifications

Qualifications/Skills:  A Bachelor’s Degree in Computer Science or similar along with a minimum of five years of directly related work experience, including three years progressive experience within a post-secondary environment in Student Services or the Office of the Registrar using an integrated system.

Required skills and abilities include:

  • Project management certification (PMP designation preferred) and experience in organizational change, business process review, preparation of training material and delivery
  • Direct experience with integrated systems including business analysis, implementation, training and reporting
  • Detailed knowledge and advanced proficiency with Colleague (Banner or equivalent) and reporting tools as well as MS Office applications and MS Project (preferred)
  • Excellent presentation, written and oral communication skills
  • Detail-oriented with the demonstrated ability to work independently or as a team, while managing multiple demands with varying deadlines
  • Excellent analytical, problem-solving, collaboration and negotiation skills
  • Ability to function effectively across cultures, particularly with the Indigenous communities, is an asset
  • Knowledge and enthusiasm for the best practices in equity, diversity, and inclusion
